Job Description
Responsibilities:
– Greet and welcome visitors in a professional and friendly manner
– Answer phone calls, take messages, and direct calls to appropriate individuals
– Schedule appointments and maintain calendars for multiple staff members
– Manage incoming and outgoing mail, including sorting, distributing, and preparing packages for shipment
– Maintain office supplies inventory and place orders when necessary
– Assist with event planning and coordination, including scheduling meetings and arranging catering
– Perform general clerical duties, such as photocopying, scanning, filing, and faxing documents
– Maintain confidentiality of sensitive information and adhere to data protection policies
Requirements:
– Previous experience as a receptionist or secretary preferred
– Strong customer service skills with the ability to communicate effectively with clients and colleagues
– Proficient in using phone systems and handling multiple phone lines
– Excellent organizational skills with the ability to manage calendars and schedules efficiently
– Knowledge of basic office procedures and equipment, such as printers, copiers, and scanners
– Familiarity with dental office procedures (for dental receptionist role)
– Professional phone etiquette with the ability to handle inquiries and requests professionally
– Attention to detail and accuracy in completing tasks
