Job Description
Office Management:
- Oversee general office activities, including managing phone calls, emails, and correspondence.
- Maintain a well-organized filing system, both digitally and physically.
- Ensure the office environment is conducive to productivity and professionalism.
Scheduling and Coordination:
- Schedule and coordinate appointments, meetings, and conferences for real estate team members.
- Assist in travel arrangements, accommodations, and itinerary planning when necessary.
Communication:
- Serve as a primary point of contact for internal and external communications.
- Assist in the preparation and distribution of internal and external correspondence.
Documentation and Record Keeping:
- Handle data entry tasks and maintain accurate records in databases.
- Assist in the preparation and processing of real estate-related documents and contracts.
Support during Real Estate Transactions:
- Provide administrative support during real estate transactions, including document preparation and coordination.
Collaboration:
- Collaborate with various departments to ensure seamless communication and workflow.
Candidate Requirements:
- Minimum of 2 years of proven experience as an Administrative Secretary or in a similar administrative role.
- Proficient in office software and communication tools.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Detail-oriented with a high level of accuracy in work.
- Ability to handle confidential information with discretion.
- Familiarity with real estate terminology and processes is advantageous.
- Positive attitude, proactive approach, and problem-solving skills.
- Ability to work independently and collaboratively within a team.
